Folders and Solutions

The Folders and Solutions button (home > Solution > Folders and Solutions) opens the Folders and Solutions form, which can be used to create new folders and make changes to any of the folder and/or solution settings. The DMS security rights given to you determine the kind of changes that you are allowed to make on this form.

You need to be connected to DMS before you can proceed with this option, see Connecting to DMS.

Creating a new folder

Once you are connected to DMS, you can create new folders. Click the Create New Folder icon to open the Create Folder form. On the Create Folder form, enter a name in the 'Name' field and either select a folder from the 'Location' drop-down list (to create the new folder within that folder) or select 'Top level' to create the new folder at the highest level.

Work  Check this option to mark the folder as a 'working' folder. In a 'working' folder, you can save the non-final versions of your model.

Changing security

On the Folders and Solutions form, use the Change Security icon to change the owner of a folder, or to change the authorization of a folder or sub-folders. Ownership means your DMS security rights are set to 'Administrator' for that specific folder.

Changing folder owner

To change the ownership or administrative rights for a folder, select the folder for which you want to change the ownership and click the icon . This opens the Security form. You can select any user that is shown in the drop-down list as the new owner of the folder. The owner drop-down list shows all users that already have some access to the folder. If you need to make someone owner that does not appears in the list then first give that user Reader rights to the folder. That user will then appear in the drop-down list and can be selected as owner. If a user is made owner, by default that user will get Administrator access rights. Click OK on the Security form to apply the new owner to the folder.

Changing folder authorization

You can setup the security for folders and underlying sub-folders for multiple users. On the Folders and Solutions form, select the folder for which you want to change the authorization and click the icon to open the Security form. In the Users section of this form, for each user, the administrator can select one of the five authorization definitions to give access rights for the selected folder. The security settings for any folder is set up exclusively and is not affected by the access rights already set at a higher folder level. You can however, (add and) change the authorization definition for a user for a folder and all its subfolders in one action.

On the Security form, you can manage users with the following options in the toolbar:

To add more users, click the Add Users icon to open a dialog where you can add new users to the folder.

  • If your DMS server works with email addresses you are then given the option to fill in the email addresses of the users you want to add. You can fill in multiple email addresses and even copy paste from outlook in a form where the full name is also in the text to make it even easier to find and add new users.
  • If your DMS server works with Windows users then all known Windows and Custom/External users are listed in the tables. The table with Windows users is also showing full names. You can select as many users as you want from the tables by checking the relevant checkboxes. If the Windows users you want to give access is not in the list you can add them by clicking on the Add Specific Users from Windows Active Directory icon. This will open a default windows user browser folder where you can select any user from the active directory. For new users they still need to be given access to DMS by the normal procedures, but once they get access they will immediately have access to this folder.

The default authorization for the new users is Reader and can be changed by the administrator as desired.

You can add users, including their authorization definitions, to all subfolders in one go. First select the users by checking the checkboxes. Next, click the icon to add these users to all subfolders in one go, including their authorization definitions. This will open a dialog where you have to confirm your action. Alternatively, you can also use this option to only change the authorization definition for users in the selected folder and all subfolders in one go.
For this functionality to work you must have installed DMS 2023.1 or younger.
Use the Remove Selected User icon to remove accessibility rights of multiple users for the folder. First select the users by checking the checkboxes. Next, click the icon to remove them in one go. This will open a dialog where you have to confirm your delete. You are also given the option to remove these users from all subfolders as well. Users that are given No access will also be removed from the folder on the closing of the security form.

Folder settings

Use the Rename icon to open the Rename form. Using this option, you can rename a folder or a solution. First, select the folder or solution, click the Rename icon to open the Rename form and type in a new name in the 'Name' field. All other fields are read-only. Click OK to save the new name.

Refresh

Use the Refresh button to update the information on the Folders and Solutions form with the updates from other users.

Deleting folders

Depending on your security settings, the option to delete folders is active or inactive. To delete a folder, first select it in the table. Click on the Delete Folder button . This will open a new dialog where you have to confirm the delete action. If a solution in the folder is used by another administrator, the folder cannot be deleted and a warning message is displayed.
